Substitute Teacher Request Procedures

Ensuring consistent, qualified substitute coverage is essential to maintaining strong instruction and supporting both staff and students. To strengthen this process, the Greene County School System partners with ESS to manage our substitute program.

How It Works

ESS oversees the recruitment, hiring, training, placement, and day-to-day management of all daily and long-term substitute teachers and substitute support staff. This partnership helps us maintain a larger, more reliable substitute pool and provide consistent coverage for classrooms and support roles. Our current substitutes remain valued members of the GCSS community.

Requesting a Substitute

All teachers and paraprofessionals should follow the updated procedures outlined in the “Updated Leave & Substitute Request Process” chart below when requesting leave and securing substitute coverage.

Our goal is simple: to ensure every classroom has access to a qualified substitute when needed, allowing staff to take leave with confidence while minimizing disruptions to student learning.

Updated Leave & Substitute Request Process for Teachers and Paraprofessionals

Old Process (Prior to February 23, 2026)

New Process (After February 23, 2026)

Requesting Leave – Staff member submits a request for leave via E-trieve as soon as possible.

NO CHANGE at this time – Continue to submit leave requests through E-trieve as soon as possible.

Requesting A Sub – Staff member contact Allyson Harrison at the Central Office to request a sub.

Staff members will no longer contact Allyson Harrison. Instead, teachers and paras will let their school bookkeeper know that they need a sub. The bookkeeper will enter the request into ESS’s platform.

It is important to notify bookkeepers as soon as possible.
